WhatsApp CRM integration built on the official Business API

WhatsApp CRM integration on the official Meta API, wired to the systems you already run: shared inbox with agent and human handoff, payment reminder sequences, appointment reminders and order updates. We are not another subscription platform — the flow follows your business logic and the source code is yours by contract.

What we build
Team gathered around a wooden table, one person taking notes on a pad while they review how customer conversations are handled

Does your company's WhatsApp depend on whoever is holding the phone?

WhatsApp became the main sales and support channel, and it is still run like a personal chat. Subscription tools solve the surface: they hand you a canned flow that knows nothing about your stock, your calendar or your billing history. WhatsApp business automation that holds up is an implementation project — the official API connected to the systems your operation already runs.

  • The business WhatsApp lives on one person's phone, with no history, no backup and nobody to cover when they take a week off.
  • Subscription platforms with generic flows that don't know what's in stock or which slots are open in the calendar.
  • Customers waiting hours for an answer a system would have given in the same minute.
  • Collections done by hand, message by message, customer by customer, until someone forgets.

What we build

WhatsApp automation on top of your systems, not on a canned flow

Shared inbox with full history

One company number, several agents, and every conversation recorded in your system instead of on someone's phone.

  • Shared inbox with queue and assigned owner
  • Full history attached to the customer record
  • Handoff between teams without losing context

An agent that answers and knows when to hand over

An AI agent handles the repetitive questions using your real data, and escalates to a person when the case calls for it.

  • Answers pulled from your ERP and your calendar
  • Explicit rules for escalating to a human
  • Business hours, queue position and wait-time notice

Automated payment reminder sequences

A nudge before the due date, a notice on the day and a follow-up sequence after, with automatic reconciliation once payment lands.

  • Sequences by days overdue and customer profile
  • Payment link inside the conversation itself
  • Automatic reconciliation when payment confirms

CRM, ERP and calendar integration

The official WhatsApp Business API connected to the systems you already run, in both directions.

  • WhatsApp leads land in the CRM with source and history
  • Order, invoice and stock lookups straight from the ERP
  • Booking and rescheduling against the real calendar

Reminders and order notifications

Alerts triggered by system state: appointment booked, order shipped, delivery on its way.

  • Appointment reminders with confirm or reschedule
  • Automatic order status and tracking updates
  • Meta-approved templates with variables from your system

FAQ

What clients ask before starting

What's the difference between the official API and unofficial WhatsApp tools?

The official WhatsApp Business API is the only route Meta sanctions: the number is verified, your company shows up identified, and the history stays in your system. Unofficial tools work by automating a regular WhatsApp account outside the rules, which is why the number can be banned at any time — usually on the worst possible day. We only build on the official API, through the WhatsApp Cloud API, because the channel has to keep existing after the project ends.

What does Meta charge, and what is the development?

They are two separate bills. Meta charges for the channel on a conversation model: each conversation window opened with a customer carries a rate that varies by category (utility, marketing, authentication or service) and by the country of the number, billed straight to your own WhatsApp Business account, in your name. Our scope is the development: the API implementation, the integrations with your systems and the flow logic, quoted in the proposal before we start. In the free audit we estimate your conversation volume so you know the channel cost going in.

Which CRMs and systems do you integrate with?

The major commercial CRMs, ERPs for operations and invoicing, scheduling systems and in-house internal systems. If the tool has an API or webhooks, we integrate it; if it doesn't, we look at the database or an intermediate layer. There's also the common case where there is no CRM at all — then we build the customer record alongside the automation, instead of pushing you into one more subscription.

How do templates and Meta's rules work?

Outside the 24-hour window after the customer's last message, a company can only start a conversation with a Meta-approved template. We write those templates, submit them for approval and bind their variables to your system data, so the reminder carries the right date and the payment notice the right amount. All of it with recorded opt-in and an opt-out, which is what keeps your number quality high and your messages getting delivered.

Does the bot answer everything, or does it hand over to a human?

It hands over, and that rule is defined with you. A well-built WhatsApp chatbot clears the repetitive work — order status, open slots, duplicate invoices, account questions — and recognizes when the conversation has left the script: a complaint, a negotiation, a sensitive case or a customer asking for a person. At that point the thread goes to your team's queue with the whole history attached, so the customer never has to repeat what they already said.

Can we measure what happens in the channel?

Yes, and it ships as part of the work. Every conversation is logged with source, owner, first response time, resolution time and outcome, in a dashboard you open without asking us. You can see how many leads the channel produced, how much of the queue the agent closed on its own, how many appointments were confirmed by reminder and how much of the outstanding balance was paid at each step of the sequence. The data sits in your own database, exportable whenever you want.
